Here are a few tips to keep in mind when planning a corporate event.
Event Attendance
You may not have an exact number, but having an estimated attendee count ready to provide a caterer allows them to give you an accurate price and gives them the advance notice to get started on menu options. Give updates as your corporate event draws near. Surprise high guest counts could be a disaster. It’s important not to have guests show that are not counted. Always overestimate the guest count for last-minute attendees.
Set a Budget and Stick to it
Whether you are serving prime rib and lobster or hamburgers and hot dogs, there has to be a budget that will cover your plans for the event. Get all approvals from your corporate team before you present your budget to a caterer. Carefully plan your budget and plan for everything you need. Plan for the decor, table dressings, themes, or anything that is not included in the food. Keep in mind that alcohol is not included in your caterer’s budget.
Meeting Themes
If you are planning a themed event have your venue on board for extra space or special props. You may have to provide them. Plan your theme in advance to avoid last-minute rushed preparation. Timing is very important.
Stick to a Schedule
Planning your event time, eating time, and mingling time are crucial for your caterer. Your caterer must know the time you want dinner served or the hot food to be served on a buffet or delivered to the table. You may be presenting awards or listening to a speaker when the food comes out. It is important not to hold the caterers up from food delivery and end up serving guests cold food. Sticking to your schedule is very important.
